Vacancy For Administrative Support Personnel

Job Description
To serve as the first point of contact for internal and external clients, visitors, customers etc. by registering their names and contact details and ensuring they receive a heartwarming welcome.
To maintain a professional work environment and provide administrative support to various units, and plan the most efficient administrative procedures
To attend to all the incoming calls, responding to them and transferring the call to the appropriate department.
To provide support to the Human resources department on day to day operations
To keep records all the stationary items in the organization up to date and order for fresh stock.
To ensure the clerical staff adhere to all the safety procedures and keeping the management informed about any kind of unsafe situation.
To be responsible for attending meetings and training as per requirement.
To demonstrate knowledge of advanced filing skills, capable of maintaining documents register and schedules for easy access and quick retrieval.
To manage all unit’s correspondences as well as that of managers and other colleagues and follow up on to-dos and then file the emails in appropriate categories
Troubleshoot emergencies
Maintain contact list of vendors and suppliers
Book travel arrangements for management and staff
Submit and reconcile expense report as required
To carry out other duties as assigned by higher authorities.
Experience
At least 3 years’ experience in similar role or as PA
Stable employment history (same employer for at least 3years)
Advanced Microsoft Office Suite (including Word, Excel, PPT & Outlook) Compulsory
Skills and Personal Attributes
Capable of preparing corporate documentation with graphs, org charts etc
Demonstrated ability to contribute in a professional and collaborative way to a team
Clear and concise verbal and written communication and interpersonal skills including the ability to manage the flow of people and business, liaise and consult with internal and external stakeholders regarding sensitive and confidential matters, and maintain effective working relationships in a high-volume environment
Demonstrate a high level of confidentiality, tact, discretion, initiative and sound judgement
Excellent organisational skills including the ability to determine priorities, meet regular deadlines and take/follow up action.
Good organizational and multitasking abilities
Problem-solving skills
